What information can I view on a contact record?

Each contact record in NAMI 360 is for one individual person. It will contain information such as the individual's address, email, and phone number; whether they have any memberships; if they lead any NAMI Education programs; etc.

The layout of a contact record in NAMI 360 has changed as of May 28, 2020 in order to more easily display the membership(s) an individual may have on their record.

There are five tabs on an individual's contact record:

3. Notes
4. Membership
5. Activities

When you're on the contact record, you can click on the tab name to go to that particular tab.

1. Details

On the Details tab are multiple sections containing an overview of the individual. You can click the down arrow icon next to a section heading to minimize that section; if the section is minimized, you can click the right-facing arrow icon next to the section heading to maximize that section.

Contact Details has general information about the individual's name and includes their ID number.

This should be the Affiliate this contact is associated with shows the individual's Primary Affiliation - if the individual is a member this field generally matches up to the affiliate of which they are a member. If the individual is not a member, the Primary Affiliation will be either the name of the affiliate or state office that first created the contact record, or the name of the affiliate or state office the person works or volunteers for.

Please note: changing the Primary Affiliation field does not transfer a person's membership - please email memberservices@nami.org with any membership transfer requests.

Address Information will show the individual's primary and secondary address.

Household Information shows the address listed on the person's household account record [which you would see as "Doe (John) Household" or "Doe (John and Mary) Household"] in NAMI 360.

Phone and Email has fields for multiple phone numbers or email addresses.

Fax and Website has fields available for the individual's fax numbers.

Membership Summary will show a summary of all of the individual's membership information regardless of whether they have a membership with your affiliate or not. For example, if John Doe had a membership with your affiliate with Join Date 2/10/2018 and Expiration Date 2/9/2019 and a second membership with NAMI Bumblebee with Join Date 6/15/2018 and Expiration Date 6/14/2019, the Membership Summary would show:

Membership Join Date: 2/10/2018
Membership End Date: 6/14/2019

Demographics have fields for information such as Birthdate, Gender, Race/Ethnicity; these are all optional fields.

System Information will show information about who created the record as well as who last updated the record.

2. Related

On the Related tab are multiple sections with more details about how the person interacts with NAMI or other records in the database. If available, the New button will allow you to add a new piece of information to the record; the View All link will allow you to see a more detailed listing of the information.

Open Activities shows any tasks or events you have entered on the individual's record.

Relationships will show any relationships the contact has with other contact records in the system, such as if they are spouses or family. Adding a relationship on one contact will automatically add a reciprocal relationship on the other contact.

Organization Affiliations are the different ways an individual contact is associated to your affiliate or state organization. This includes staff or volunteer roles as well as memberships. Memberships displayed here will show once per membership transaction/payment.

Leading Programs shows if the individual leads any NAMI Education signature programs.

Activity History (description to come)

NAMI 360 Access Records will show if the person has, or had in the past, access to NAMI 360 for your affiliate.

3. Notes

Currently on the Notes tab, you can see certain changes that have been made to the individual's contact record.

4. Membership

On the Membership tab is an overview of all the memberships an individual has on their record, separated into Active Memberships and Lapsed and Dropped Memberships. This will include memberships the person has with other affiliates. It will show one membership per affiliate, with the oldest Start Date and the farthest out End Date. The Membership Type displaying is for the most recent membership transaction with that affiliate. Member Through will show either "Self", if the person has an Open Door or Regular membership, or if they are the primary member on a Household membership; or "Household - (primary member's name)" if the person is a member on someone else's Household membership. NOTE: the primary member's name is not currently being displayed, it is only showing "Household" under the Member Through column if the person is part of another individual's Household membership. The NAMI Salesforce team was notified of this issue and is looking into it.

For example, John Q. Public is the primary member on a Household membership with NAMI Testing Affiliate. He also has an expired membership with NAMI Bumblebee.

Nancy A. Public is part of John Q. Public's Household membership with NAMI Testing Affiliate, so the Member Through field on her record shows "Household - John Q. Public". NOTE: the primary member's name is not currently being displayed, it is only showing "Household" under the Member Through column if the person is part of another individual's Household membership. The NAMI Salesforce team was notified of this issue and is looking into it.

5. Activities

On the Activities tab, you can view or add a New Event such as a Call, Email, or Meeting you had with the individual to keep track of that contact with them, or view or add a New Task if there is something in particular you want to assign yourself to do in regards to that individual.
